Residence Halls Closing


Dear Residents, 

I hope you are finishing your semester strong! Please read the following email carefully and reference it as needed. Below you will find valuable information about the closing of the residence halls at the close of the spring semester and items that need to be taken care of before you leave campus. You will be held responsible for all information contained in this email, without exception. 

Students who are not participating in Commencement exercises: 

  • Should plan to move out 24 hours after their last final. Residence Halls officially close Tuesday, May 13 at 10am.  
  • Make your travel plans NOW. 
  •  We strongly encourage you to pack your belongings prior to leaving, that way you can double check your room. 

Late Stay Request: 

  •  Students seeking to stay briefly after the halls close on Tuesday, May 13th at 10am, must fill out the following late stay request form by 11:59pm 05/02/25: HERE 
  • This Form is only for people requesting to stay between May 10th and May 17th. 

 Students Participating in Commencement on Saturday, May 17th: 

  • Need to be completely moved out by 6:00 PM that day. If you need to stay past this time, please fill out a late stay request form, found here, HERE

Shuttles: The University has a pre-determined airport shuttle schedule based on finals. The shuttles will run to Rochester airport. The date and time of the shuttles are below and are not subject to change. 

  • 5/6 – Shuttle Leaves Campus at 6 a.m., 12 p.m., 6 p.m. 
  • 5/7 – Shuttle Leaves Campus at 6 a.m., 12 p.m., 6 p.m. 
  • 5/8 – Shuttle Leaves Campus at 6 a.m., 12 p.m., 6 p.m. 
  • 5/9 – Shuttle Leaves Campus at 6 a.m., 12 p.m., 6 p.m. 
  • 5/10 – Shuttle Leaves Campus at 6 a.m., 12 p.m., 6 p.m. 
  • 5/11 – Shuttle Leaves Campus at 6 a.m., 12 p.m., 6 p.m. 
  • 5/12 – Shuttle Leaves Campus at 6 a.m., 12 p.m., 6 p.m. 
  • 5/13 – Shuttle Leaves Campus at 6 a.m., 12 p.m., 6 p.m. 
  • 5/17 – Shuttle Leaves Campus at 6 p.m. 
  • 5/18 – Shuttle Leaves Campus at 10 a.m. 

To register for the shuttle please go to the following link, HERE. Please only register for the one shuttle you will be taking. You must submit your shuttle form by 04/30/25 at 11:59pm. 

Students staying for summer: 

  • Students wishing to stay on campus for the summer due to in person summer classes must complete the Summer Housing Application by Monday May 1st available via https://alfred.datacenter.adirondacksolutions.com/alfred_thdss_prod
  • Students who need housing until their summer experience starts need to complete the late stay application found HERE.  
  • Students will be informed of their summer housing assignment once that has been finalized and will be instructed on how to move into their summer assignment shortly. Students staying for Summer A1 classes should not move out at the end of the semester, and you should fill out the late stay application (HERE) as well, as you will most likely just stay in your current space. 

Closing Procedures 

  1. Students should plan to move-out 24 hours after their last final. Residence Halls officially close Tuesday, May 13th at 10am.  
  2. Return the room to the way you found it when you moved in by cleaning it (mop/sweep/vacuum the floor; wipe down University furniture), taking out trash to the dumpster and recyclables. 
  3. Take all personal items and property out of your room/suite/apartment. Double-check closets, drawers, under bed, etc. 
  4. Place any necessary work orders for items that need to be fixed. You can place a work order by visiting, https://az.quecentre.com/alfred/Login.aspx
  5. Close and lock all windows.  
  6. Turn off all lights.  
  7. Lock room/suite/apartment door(s).  
  8. Return only your room key to the Office of Residential Communities in Bartlett, if you will be returning to Alfred in the fall you keep your FOBs and mail room key. Key return envelope must be completed in full and sealed with key inside. DO NOT SLIDE LOOSE KEYS UNDER ANY OFFICE OR STAFF MEMBERS DOOR. Failure to properly complete a key return envelope will be considered an improper check-out and will result in a fine of up to $50. 
  9. Office hours will be extended for the week of closing as follows: 

Monday May 5th through Friday May 9th from 8:30am-8pm 

Saturday May 10th, Sunday May 11th from 12pm-4pm. 

If you are unable to return your key within this time frame you may slip your completed check out envelope, with your key sealed in the envelope, under the Residential Communities door. Check out envelopes will be available in the unlocked entrance to the Residential Communities office. Once the envelope has been completed, please take the yellow slip for your records and proof of return. 

If you give a key to a friend to return, and they don’t, you as the owner will still be held responsible and billed for the key not being returned.  

Failure to return your key will result in you being charged for its replacement and the lock change. Leaving your key in your room to be searched for and collected by a staff member will be considered an improper check-out and will result in a fine of up to $50. 

Graduating students: Return your room key and Door FOB to our office/ staff prior to your departure. We will have a table at commencement to make your checkout experience easier, additionally the office will be open until 6 P.M. that day 

If you choose not to do these items, you may be charged. 

Common Charges to Avoid 

Residential Communities staff along with Physical Plant staff will enter spaces to ensure students have left campus, removed all items from their housing unit, as well as assess for damages, cleaning and furniture replacement. Students should remove all belongings, as well as check out and return key(s) at the Office of Residential Communities to charges:

Other charges will be assessed, as appropriate. Students will be charged to remove and dispose of any belongings left in residential spaces once residence halls close. If no one accepts responsibility, charge(s) will be split evenly amongst all residents assigned to the space. The University does not store belongings, and all items left in spaces will be discarded on Tuesday May 20th.  

Cleaning Tips 

  • Check every drawer and cabinet for items. Any items that remain will be discarded on Tuesday May 20th at 9am. 
  • Remove all tape, hooks, nails, etc. from surfaces. Make sure screens and windows are in place. 
  • Take ALL trash and other belongings out of housing unit (paper, garbage) and put them in dumpsters. Do not leave trash outside your room, suite, or apartment. 
  • DO NOT put paint/ microwaves /refrigerators in the dumpsters. If you need to dispose of these items, please leave them beside the dumpster. If you have any electronic waste, you can leave it beside the dumpster as well. 
  • Thoroughly clean your bedroom – dust, sweep, vacuum, mop 
  • If applicable and you live in a suite or an apartment, thoroughly clean your living room, kitchen and bathroom(s) including refrigerator, oven, range top, cabinets, countertops, toilets, showers, and sinks. 
  • Wash ink, marker, and stains off surfaces. Remove posters, contact paper, stickers, and other decorations from surfaces (walls, ceilings, etc.). 
  • Please note once you have checked out, you will NOT be able to re-enter your housing unit. 
  • Students staying in the special interest houses (Hillel, Language, Honors) need to do the above items as well. Even if you are returning to the house, you cannot leave your belongings there over the summer. No food of any sort should be left in the house over the summer. All the houses will be cleaned over the summer. 

Important Information & Reminders 

  • To help you do your best on final exams 24-Hour Quiet Hours begin in all residential areas on Monday, May 5th, 2025, at 10:00 pm and continue through final exams. Remember that all noise must be contained in bedrooms and not able to be heard in adjacent rooms and hallways. 
  • The University does not offer storage on campus. For storage options please look below. 
  • Return all library materials from Herrick and Scholes (including Interlibrary Loans) by the end of final exams. 
  • Contact Herrick or Scholes if you need an extension on library materials. 
  • Check your account online by going to the Alfred Libraries catalog website and signing in at the top right corner. 

Mailroom Reminders 

  • All students should check their mailboxes before leaving campus. 
  • Any students staying over the summer will need to come inform the mailroom so we can keep your box open. 
  • Graduating students need to return their key and printer fob before the Friday of graduation week, or you will be charged a non-refundable fee. 
  • If you are a student who will return in the fall. We will forward mail over the summer until your return. 

Student Storage 

Alfred University is unable to store belongings over the summer. We encourage students to reach out to local businesses to have their items packed, shipped, and/or stored. The following company has worked with our students in the past:
